How to Choose an AV Supplier in Cyprus

Published · Updated

Choosing AV support is easier when each supplier is responding to the same event brief. Use the questions below to compare how each proposal addresses the venue, programme, content and on-site responsibilities.

Start with one clear brief

Give every supplier the same essentials: event date, venue, audience layout, programme, speaker and content needs, access window, and any remote or language requirements. Comparable input makes comparable proposals.

Ask what the proposed scope includes

Check what is included for equipment, transport, setup, testing, operation, rehearsal and breakdown. Ask where responsibilities sit between the venue, organiser and technical team.

Match the experience to the format

Ask for relevant examples or references where they can be shared. A conference, live performance, exhibition and outdoor programme each create different technical planning questions.

Review the venue assumptions

A floor plan, site photos, ceiling information, house rules and a venue contact can uncover practical constraints. If an assumption is being made, ask for it to be stated in the proposal.

Discuss support around the programme

Confirm which moments need technical coverage: setup, content checks, rehearsals, speaker handovers, live operation and strike. Coverage should follow the programme, not a generic label.

Compare the total scope, not only a headline figure

A lower figure can describe a smaller scope. Compare the listed equipment, labour, timings, travel, taxes and exclusions, then clarify any gaps before making a decision.

Use the event brief to confirm the venue, programme, content, access and responsibilities before the event. Discuss unresolved practical requirements with the technical team.
