AV Checklist for Events in Cyprus
Published · Updated
A useful AV brief does not need to specify every item of equipment. It should explain what the event needs to achieve, who is involved and the venue conditions that shape the technical plan.
Programme and speakers
Share the running order, presenter count, panel or Q&A format, walk-on cues, playback moments and any remote contributors. Identify the moments that cannot be missed.
Sound and microphones
Describe the room or site, audience arrangement, speech, music and playback needs. Note who needs microphones and whether they will stand at a lectern, sit on a panel, perform or take audience questions.
Screens, displays and content
Provide the screen locations, viewing areas, content formats and any live sources. Confirm who supplies presentation files, how changes are handed over and when a content check can take place.
Lighting and staging
Include stage dimensions, speaker positions, room treatment goals, backdrop requirements and venue limits on rigging or stands. A floor plan and reference images are helpful.
Power and connectivity
Ask the venue for available power and connection information, then share it with the technical team. Explain which activities depend on connectivity, such as streaming, registration or presentations.
Access, rehearsal and responsibility
Confirm load-in, setup, rehearsal, event and load-out times. Include access routes, venue contacts, floor plans and the person responsible for event decisions on the day.
Confirm the agreed scope
Before the event, check the proposal against the latest programme and venue information. Record changes so equipment, staffing and timings can be considered together.
Use the event brief to confirm the venue, programme, content, access and responsibilities before the event. Discuss unresolved practical requirements with the technical team.
