Internet Requirements for Hybrid Events

Published · Updated

Hybrid events depend on more than a headline bandwidth figure. The connection, platform, remote contributors, content flow and on-site network all need to be considered as one working plan.

Describe the actual workflow

Explain whether the programme includes streaming, remote speakers, virtual attendees, recording, Q&A, registration or separate delegate Wi-Fi. Each activity can place different demands on the connection.

Get venue information early

Ask for the available connection type, expected sharing, physical handoff location, network contact and any restrictions. Treat advertised speeds as starting information to verify, not as a final event plan.

Keep critical activity separate

Streaming, production, presenters and delegates may need separate access arrangements. Discuss network separation and access control with the venue and technical team where the workflow calls for it.

Test the real setup

Allow time to test the intended platform, remote speaker connections, content playback and event network from the actual operating position. Rehearsal is where unclear handovers can be found.

Plan a proportionate fallback

Decide what happens if a remote contributor cannot join, a platform changes or the main connection is interrupted. The fallback should be agreed with the event team and suited to the programme.

Use the event brief to confirm the venue, programme, content, access and responsibilities before the event. Discuss unresolved practical requirements with the technical team.
